Who we are
Elitra AI Agency ("Elitra", "we", "us") builds AI chatbots, voice agents and workflow automations for businesses. This policy covers this website and the enquiries you send through it. Where we process data on behalf of a client as part of a project, that is governed by our contract with them rather than by this policy.

What we collect
What you send us. When you use a form on this site, we receive the name, email address, company and message you type, and nothing else. The checklist form collects a name and email so we can send you the checklist.
What your browser sends. Our host records standard server logs — IP address, page requested, timestamp, browser type — for security and to keep the site running. We do not run advertising trackers or analytics profiling on this site.
What you tell us on a call. Notes we take during a consultation, kept so we can write you a useful summary afterwards.
Why we use it
- To answer your enquiry and, if it goes further, to prepare a proposal. This is the legitimate interest of responding to someone who contacted us.
- To send you the AI Readiness Checklist when you ask for it. That is one email, sent because you requested it.
- To keep records of the work we've quoted and delivered, which we're required to do for tax and accounting.
- To keep the site secure and available.
We do not sell your data, share it with data brokers, or add you to a marketing list because you downloaded something. If we ever want to send you anything else, we will ask first.
Who else sees it
A small number of service providers process data on our behalf, each under contract and only for the purpose named:
- Web3Forms — delivers the contents of website forms to our inbox.
- Our email and calendar provider — stores correspondence and meeting bookings.
- Our website host — serves this site and keeps server logs.
- Our scheduling tool — handles consultation bookings if you book through the calendar.
Some of these operate outside your country. Where that happens, transfers are covered by the provider's standard contractual clauses or equivalent safeguards.
AI models and your data
This one matters enough to say plainly. We use business-tier access to AI model providers with training disabled, so content you send us is not used to train anyone's model. In client projects we scope each agent to the minimum data it needs, keep an audit trail of the actions it takes, and never move customer data outside the systems agreed in the contract.
How long we keep it
- Enquiries that don't become projects: 24 months, then deleted.
- Checklist sign-ups: until you ask us to remove you.
- Client project records: for the duration of the contract and seven years afterwards, as accounting rules require.
- Server logs: 90 days.
Your rights
You can ask us to show you what we hold about you, correct it, delete it, or stop using it. You can also ask for a copy in a portable format. Email info@elitra.cloud and we will respond within 30 days. We will not ask you why.
If you think we've handled your data badly, tell us first — we would rather fix it. You also have the right to complain to the data protection authority where you live.
Cookies
This site sets no advertising or analytics cookies. If you book through the embedded calendar, that provider may set cookies of its own under its own policy; the booking page names which provider is in use.
Changes
If we change this policy we'll update the date at the top. If a change materially affects people who have already contacted us, we'll email them rather than rely on this page being re-read.
